Google Calendar

Let an agent check availability and book meetings straight into a real Google Calendar during a call.

Google Calendar lets an agent do more than talk about scheduling - it can check availability and book a meeting on a real calendar, live, mid-call. Unlike most integrations, it’s connected per agent, by whoever owns that agent - no workspace admin needed.

What it does

Once connected, an agent gets two mid-call tools:

  • Check availability - looks at the connected calendar’s free/busy time before offering a slot.
  • Book meeting - creates the event directly on that calendar once the caller agrees on a time.

Both happen live, during the conversation - this is different from post-call connectors like Google Sheets, which only write after the call ends.

Per-agent, self-serve

Most integrations in oyehello are connected once at the workspace level and shared across agents. Google Calendar works differently: it’s connected on the agent, by the agent’s owner.

  • Anyone with edit access to an agent can connect their own Google Calendar to it - no settings:admin permission or workspace-level setup required.
  • Each agent points at exactly one connected Google account and one specific calendar on that account.
  • Connecting a calendar to one agent has no effect on any other agent - different agents can each use a different person’s calendar.

Connect Google Calendar

  1. Open the agent in the builder. You’ll need to save the agent once before connecting - the connection is tied to the agent’s id.
  2. Find the Connect Google Calendar card. For prompt-based agents it’s in the Tools step; for multi-prompt / flow agents, the same card is in the flow’s settings.
  3. Click Connect Google Calendar. A Google popup opens - sign in and approve access.
  4. Once approved, the card shows Connected as with the linked Google account.
  5. Choose which calendar to use from the Choose calendar dropdown, then save the agent.

The agent now checks availability against - and books meetings into - that calendar.

Tip: to point the agent at a different calendar on the same account later, use Change calendar on the card.

What Google access is requested

The connection only asks for narrow, task-specific access - not full account access:

  • Calendar events - to create and read events (so it can book meetings and avoid double-booking).
  • Free/busy - to check availability without reading the details of other events.
  • Calendar list - just enough to show you the picker of calendars to choose from.

It never asks for anything beyond what booking and availability checks need.

Reconnect

If the connection is revoked from the Google side, or a calendar was connected before calendar-list access was part of the request, the card shows a prompt that the connection needs to be reconnected. Click Reconnect Google Calendar on the same card and approve access again - the agent’s chosen calendar isn’t lost.

Disconnect

Disconnect from this agent on the card removes only this agent’s pointer to the calendar. It does not revoke the underlying Google connection or affect any other agent using the same or a different calendar - each agent’s connection is independent.

Multiple agents and accounts

Because the connection lives on the agent, not the workspace, different agents can each be connected to a different person’s Google Calendar. Connecting or disconnecting one agent never changes what another agent is pointed at.

For admins: Google Calendar requires the platform’s Google OAuth app to have the calendar scope approved, and it sits behind Google’s sensitive-scope verification process, which is required before this is generally available to every workspace. The connector itself is gated behind the integrations feature.
