Calendly

Let an agent check availability and book meetings on a Calendly event type during a call.

Calendly lets an agent do more than talk about scheduling - it can check availability and book a meeting on one of your Calendly event types, live, mid-call. Like the other schedulers, it’s connected per agent, by whoever owns that agent - no workspace admin needed.

What it does

Once connected, an agent gets two mid-call tools:

  • Check availability - looks at open times for the connected event type before offering a slot.
  • Book meeting - books the caller onto that event type once they agree on a time (see the plan note below), so standard Calendly confirmations and calendar invites go out as usual.

Both happen live, during the conversation.

Per-agent, self-serve

Calendly is connected on the agent, by the agent’s owner - not once at the workspace level.

  • Anyone with edit access to an agent can connect their own Calendly account to it - no settings:admin permission required.
  • Each agent points at exactly one connected Calendly account and one specific event type on it.
  • Connecting one agent has no effect on any other agent - different agents can each use a different person’s Calendly or a different event type.

Connect Calendly

  1. Open the agent in the builder and save it once - the connection is tied to the agent’s id.
  2. Find the Scheduling card. For prompt-based agents it’s in the Tools step; for multi-prompt / flow agents, the same card is in the flow’s settings.
  3. Choose Calendly and click Connect. A Calendly popup opens - sign in and approve access.
  4. Once approved, the card shows the linked Calendly account.
  5. Choose which event type the agent should book from the Choose event type dropdown, then save the agent.

The agent now checks availability against - and books - that event type.

Tip: to point the agent at a different event type later, use Change on the card.

What Calendly access is requested

The connection only asks for the access booking needs:

  • Read your user profile - used once, to label the connection with your Calendly name/email.
  • Read your event types and availability - to list event types in the picker and offer open times.
  • Create bookings and scheduling links - to book the caller, or hand them a one-time scheduling link when a direct booking isn’t available (see below).

It doesn’t ask for access to your organization, routing forms, webhooks, or anything unrelated to scheduling.

A note on Calendly plans

Booking a caller directly onto an event type uses Calendly’s booking API, which is available on Calendly’s Standard plan and above. On the Free plan, the agent automatically falls back to creating a single-use scheduling link and offering it to the caller instead - so scheduling still works, it’s just a link rather than an instant confirmation.

Reconnect

If the connection is revoked on the Calendly side, the card shows a prompt that the connection needs to be reconnected. Click Reconnect on the same card and approve access again - the agent’s chosen event type isn’t lost.

Disconnect

Disconnect from this agent on the card removes only this agent’s pointer to the event type. It does not revoke the underlying Calendly connection or affect any other agent - each agent’s connection is independent.

For admins: Calendly scheduling requires a Calendly OAuth application registered for the platform (client id + secret, redirect URI pointing at the API’s /integrations/oauth/calendly/callback). Request the scopes users:read, event_types:read, scheduled_events:write and scheduling_links:write - nothing more. The connector sits behind the integrations feature.
